Bibek Tours and Travels
(Effective from May 2025)

Please read the following Terms & Conditions carefully before booking any travel service with Bibek Tours and Travels. By confirming a package, you agree to be bound by these terms.

1. Booking & Payment Policy

• A minimum of 40% advance payment is required at the time of booking to confirm the tour.
• The balance payment must be paid either before the start of the tour or on the day of arrival at the designated meeting point.
• Booking will be treated as confirmed only after receiving the advance payment.
• Payment can be made via bank transfer, UPI, or in cash.

2. Cancellation Policy

• 30 days or more before travel: 10% of the total package cost
• 15–29 days before travel: 25% of the total package cost
• 7–14 days before travel: 50% of the total package cost
• Less than 7 days or No Show: 100% cancellation charge (No refund)
• Safari/Permit fees are non-refundable once booked

3. Amendment Policy

• Any changes in dates, destinations, hotels, or transport post-booking may attract additional charges and will be subject to availability.
• Date changes are not allowed within 10 days of departure unless due to valid emergency and subject to approval.

4. ID & Documentation

• All travelers must carry valid Government ID proof (Aadhar/Voter ID/Passport). PAN cards are not accepted for permits.
• Children below 18 years must carry birth certificate or school ID card along with passport-size photos.
• Permit issuance for restricted areas like Sikkim or Bhutan is at the discretion of local authorities. The agency will assist but is not responsible for denial due to ID/document issues.

5. Accommodation & Transportation

• Accommodation will be provided in standard or deluxe rooms as per package (or equivalent alternate if mentioned property is unavailable).
• All transport will be via private vehicles such as Sedan/SUV/Tempo Traveler depending on package and group size.
• A/C in vehicles is not allowed/functional in hilly regions.

6. Safari & Permit Guidelines

• Jeep/Elephant safaris in Dooars and other reserves are subject to availability, weather, and forest department regulations.
• Safari booking should be made in advance; entry fees and camera charges are to be paid directly by the traveler unless mentioned.
• Permits for protected or international borders (like East Sikkim or Bhutan) are subject to local government rules.

7. Liability & Responsibility

• Bibek Tours and Travels shall not be held liable for any delay, change, or cancellation of tour due to natural calamities, weather conditions, political unrest, or permit/immigration failure.
• We are also not responsible for any loss of baggage, valuables, or personal accidents.
• In case of road blockage or breakdown, any extra cost for hotel/transport is to be borne by the customer.

8. Health & Safety

• Travelers are advised to consult their doctor before traveling to high-altitude areas.
• Carry prescribed medicines and basic first-aid.
• The agency shall not be responsible for medical emergencies during the tour.

9. Force Majeure

Bibek Tours and Travels shall not be held responsible for any failure or delay in performance of its obligations caused by acts beyond its control such as natural disasters, war, lockdowns, strikes, government actions, or epidemics.

10. Disputes & Jurisdiction

• All disputes will be settled amicably.
• In case of unresolved issues, the matter will be subject to the jurisdiction of Siliguri Court (West Bengal) only.
